Overview

System fields are system-generated fields that are "built in" to your database. They contain specific pieces of information such as first name, last name, email address, company, mailing address, industry, occupation, and so on.

The values in system fields can be modified only through database. Still you can change some basic properties on metaform designer (like assigning label, tooltip, resizing and moving the field on the form).

• All fields have a property named "Visible" with values Yes (by default) and No. This property defines whether or not the field is visible on the metaform. Learn more here Metaform runtime rules </aside>

Best Bet

Best Bet system fields are used to attach a keyword to specific document or other items so that they show up more prominently in search results. For details, see Best Bets

Conversation

The conversation field is the place where you can communicate with the collaborators.

• You can use the “mention” function for DocuNote Users.

  • Insert “@” and instantly a search box with most recently searched users will be shown.

    <aside> ⚠️

    Please note:

    • From DocuNote Version 7.0, "@" will not trigger a search if there are characters before it, as it will be interpreted as part of an e-mail address.

      • The e-mail address will be rendered with blue link colour and “Mailto:”

      • To use an e-mail from the conversation field, right click it and choose between copy to clipboard or new email.

        

    • The @ functions is not supported in DocuNote Web </aside>

  • In this box you can search for all DocuNote users. The search will start as soon as you type a letter.

    <aside> 💡 Tip:

    • You can notify the mentioned user or users either by email (if one is added to the user's properties) or through Additional Modules (User) - DocuNote Notifications. (Administrated in General settings 770/771 - permission for system settings is needed.)
    • A .dno file is attached to the email, directing you to the conversation in which you've been mentioned. Clicking the DocuNote notification will navigate you to the object. It will open its properties in the pane where the conversation you're mentioned in is located. </aside>

When saved, all your entries are logged under the box.

The entries can then be exported to PDF format using Export to PDF button/dropdown menu; either all or just the entries loaded/shown

• You can also use “ctrl+c” to copy a single message to clipboard. See below example for the output format. If part of message is marked, only this part will be copied, but username and date-time will still be copied as well.
