PDF/UA Accessibility in DocuNote

There are several different tools to check if a document is accessible. The validation tool implemented in DocuNote checks for one of the two most common accessibility standards; PDF /UA (Universal Accessibility).

When validating a document with our 3rd party product from Aspose, a list of recommendations for changes to the document will be provided. These may include recommendations to add image captions, use correct typography (Heading 1, 2, 3, etc.), check contrasts, and similar. In Microsoft Word, users can optimize their document to a certain extent, but there is not necessarily consistency between the recommendations listed by Aspose and the corrections that can be made in Microsoft Word. When working with PDF /UA, it is important to keep templates and documents simple. If you have a large and complex document, it will be a disproportionately large task for the user to comprehend all the changes that need to be made. To make a work process acceptable, one should stick to simple text and images in documents that need to be compatible. The recommendations listed by Aspose are, in principle, recommendations. Aspose can still convert to the PDF /UA format even if all recommendations are not fully addressed. It can be a good idea to check your templates after conversion to PDF /UA with Adobe Reader, and try to have the document read aloud by the built-in reader in Adobe Reader. This will give an indication of how a document is experienced by a visually impaired person.

DocuNote - Accessibility Testing

When a document is checked for accessibility, DocuNote opens a report describing the accessibility of the document, measured on various parameters.

Please note:

If not all requirements are met, it shows where in the document an error occurs, so the user can fix this and then PDF /UA validate their document.

The functionality in DocuNote focuses on four key areas:

  1. Explorer
  2. Templates
  3. DocuNote Add-in in Microsoft Word
  4. Digital Mail
