Overview

Extended permissions on notes allow users to restrict access to their notes to specific users. For example, you may allow only few management executives to see your notes.

Please note:

• To create note profiles, setting "(116) Use extended read permissions" must be set to "Yes" (see Notes settings)
  • Additionally, the use of note profiles can be made mandatory by also setting "(117) Mandatory to choose extended READ permission" to "Yes"
• The module role "Manage extended note profiles" is required to administer note profiles (see Roles and permissions). </aside>

Creating Extended Notes profiles

Extended Notes profiles allow you to group users and user groups who will be able to see the particular notes.

To create a new Extended Notes profile:

1. Navigate to the Backstage panel, and under System administration click System Setup*.*

2. On the ribbon bar, click the Extended Notes profiles.

   • The Extended Notes profiles dialog box appears.

   

3. Click Add to create a new profile.

   • You can also Edit or Delete existing profiles by using the respective functions in the toolbar.

4. Provide the profile with a name.

   

5. Click Set view permissions to configure which users/groups should be added to this note profile.

   • The profile cannot be deleted if it is applied to the note. </aside>

6. When done, Save your changes.
