Overview

DocuNote makes it possible to publish Agendas to FirstAgenda portal.

Publishing to FirstAgenda is a feature that can be set up in DocuNote, which makes it possible to transfer agendas directly to the FirstAgenda portal. The feature can be used to share meeting documents with participants at different stages of the meeting process: when locking the agenda, locking attachments, or locking the minutes. This provides an efficient integration between DocuNote and FirstAgenda, allowing meeting administrators to easily make relevant documents available to meeting participants without manual file transfer.

Setting up FirstAgenda Publishing

Before you can publish to First Agenda, you need to set it up in DocuNote settings and on your DocuNote web server.

1. Create a shared folder on your server with two inner folders named: FirstAgendaUploader and FirstAgendaDagsordener
2. Make sure DocuNote user has the permissions to create and delete files and folders in the folder FirstAgendaDagsordener
3. Download and install FirstAgenda upload client to the folder FirstAgendaUploader according to this manual
   • Test FirstAgenda upload client according to this manual
4. Indicate the path to the folder FirstAgendaDagsordener in settings
   • Go to the DocuNote tab → Systemadministration → ****select Settings → expand Agenda → select Internal → enter the path of your folder in the field for the setting (588) First Agenda Prepare publishing path

<aside> ⚠️ Please note:

• DocuNote users can not unpublish already published agendas on FirstAgenda. Items that need to be unpublished need to be accessed from the FirstAgenda website and taken down manually by the administrator.
• Members of the Commitee have to be defined manually on FirstAgenda website by the administrator. </aside>

Use First Agenda Publishing

When you lock a meeting with an agenda, you will continuously encounter dialog boxes where you need to decide whether you want to publish to FirstAgenda or not.

1. When the agenda is complete and you lock the agenda in the meeting, you will be presented with the dialog box "Confirmation: Do you want to lock the agenda?" where you can choose whether to publish to FirstAgenda. Check the box "Publish to FirstAgenda" if you want the agenda itself to be visible in the FirstAgenda portal:
