Overview

Settings for documents let you adjust the way the DocuNote client handles documents.


Finding your settings

  1. Click the DocuNote tab, and then click Settings*.*
  2. In the left navigation panel under Settings, click Documents*.*
  3. Please check the following settings:
Setting Description
(24) Draft view Allows you to control how the name of the draft document is displayed in the title bar when the document is shown in read-only mode. You can use references that will be replaced with the actual values. The supported references: {T} - title, {N} - number, {V} - version, {S} - status.
(25) Published document naming Allows you to control how the name of the published document is displayed in the title bar when the document is shown in read-only mode. You can use references that will be replaced with the actual values. The supported references: {T} - title, {N} - number, {V} - version, {S} - status.
(26) Document edit naming Allows you to control how the name of the document is displayed in the title bar when the document is checked out for editing. You can use references that will be replaced with the actual values. The supported references: {T} - title, {N} - number, {V} - version, {S} - status. Please note, that at least version tag should be used in the name pattern.
(49) Exported document naming Allows you to control how the name of the exported document is displayed in the title bar. You can use references that will be replaced with the actual values. The supported references: {T} - title, {N} - number, {V} - version, {S} - status.
From DocuNote version 6.3 it is also possible to add the data from text box, by adding the field name in {} (fx. {cert} vil add the data from the field "cert")
(50) Document filter via shortcut Allows you to control how the name of the document generated from shortcut is displayed in the title bar. You can use references that will be replaced with the actual values. The supported references: {T} - title, {N} - number, {V} - version, {S} - status.
(29) Default document category when importing documents This document category will be suggested as default one when uploading documents.

Tip: If the Remember last used option is selected, the last applied document category during import wizard is saved per user and is set as default one for future sessions. | | (333) Default document category for document registrations | This document category will be suggested as default one when creating document registrations.

(Default value is default (first ID) document category.) | | (31) Delete source after uploading document | Defines whether to prompt users to delete the document on your local PC after it is uploaded to DocuNote. | | (36) Show unknown extensions | If Yes, the extension will be displayed next to the document title, even if the document format is not supported. | | (91) Disable merge for uploaded Excel documents | Disable merging data for all Excel documents being uploaded to DocuNote. For details, see ‣ | | (95) Empty basket at DocuNote exit | If Yes, the system will automatically clear the basket at DocuNote exit. | | Empty document clipboard at DocuNote exit | If Yes, the system will automatically clear the clipboard at DocuNote exit. | | (18) Double click on document | Defines whether to open the document by double-clicking it or propmt users with additional options. | | (58) Double click on document on startpage | Defines whether to open the document on start page by double-clicking it, locate document in explorer panel or prompt users with additional options. | | (632) Send document shortcut | DESCRIPTION IS IN PROGRESS | | (84) Fill in title field when creating documents | Specifies the pattern formula for the document title. Tip: Right-click within the field and use the Insert tag context menu to apply the supported tag | | (115) Use extended overwrite permissions | Enables extended overwrite permissions. For details, see ‣ | | (136) Default option in check-in dialog box | Defines the predefined option selection when checking in the document:

Major version - The Major version option is selected by default; • Minor version - The Minor version option is selected by default; • User's last choice - The last selected options are automatically applied the next time. | | (64) Number series for special documents | Applies predefined document series number to mail lists and daily mail. | | (60) Check permissions for template | If Yes, the permissions could be assigned to the template folders. | | (140) Check permissions for document category | If Yes, the permissions could be assigned to the document categories. | | (189) Allow creating document registrations | Let you create document registrations. | | (394) Exclude this country from addresses | Allows you to remove the country record when merging address information. | | (425) Copy document contacts to parent case | Defines whether to copy the contacts to parent case every time the contacts are added to the document. | | (428) Copy document users to parent case | Defines whether to copy the users to parent case every time the users are added to the document. | | (428) Copy document groups to parent case | Defines whether to copy the groups to parent case every time the contacts are added to the document. | | (446) Allow change document status for digital mail | Let you modify the Document status field in digital mail documents. | | | | | (456) Allow similar names in document folders and cases | Allows having documents with the same name within document folders and cases. Supported values:

Titles must be unique - it is required that the document titles are unique; • Titles can be equal - the document titles can be the same • Titles and extensions combined must be unique - the document titles can be the same provided that the formats of the documents are different. | | (755) Copy document to new | Setting allows administrator to force Publish or draft version when copying, depending on permissions for the user doing the copy:

**As source (**Default) ****• If latest version of the original document is published and user is allowed to create published versions of the document, then the copy will be created as published • If latest version of the original document is published and user is only allowed to create draft versions of the document, then the copy will be created as draft • If latest version of the original document is draft and user is allowed to create draft versions of the document, then the copy will be created as draft • If latest version of the original document is draft and user is only allowed to create published versions of the document, then the copy will be created as published.

Published • If the setting is set to "publish", everything will be published. However, if a user is only permitted to create drafts, then the document will remain in draft form regardless.

Draft • If the setting is set to "draft", all documents will be in draft form. However, if a user is only allowed to create published documents, the document will be published regardless of this setting. | | (578) Lock document properties when document is locked Please note: This setting is Discontinued from DocuNote 6.9. - Properties will always be locked. | Prevents user from modifying the document properties after the document has been locked.

Tip: Changing this setting does not affect the existing locked documents. | | (579) Lock document properties when case is locked Please note: This setting is Discontinued from DocuNote 6.9. - Properties will always be locked. | Prevents user from modifying the document properties after its parent case has been locked.

Tip: Changing this setting does not affect the existing locked cases. | | (637) Use Check-in metaform | Defines the design for the check-in metaform. Possible values:

Yes - use custom design for the check-in metaform; No - use a standard design for the check-in metaform.

By default, the setting value is set to No. | | (658) Show status on check-in/import/office dialogs | Defines whether to display document status on Check-in dialog, Import wizard and MS Office Add-in dialogs in DocuNote.

Possible values: Yes. It is the default value. No.

Please note: This setting don’t affect the Check-in metaform in setting (637) | | (659) Show document type on check-in/import/office dialogs | Defines whether to display document type on Check-in dialog, Import wizard and MS Office Add-in dialogs in DocuNote.

Possible values:
Yes. It is the default value. No.

Please note: This setting don’t affect the Check-in metaform in setting (637) | | (660) Default document type on import wizard | Defines the default document type which is displayed on the Import wizard dialog box.

Possible values: None. It is the default value. Internal –documents within the particular company.
Incoming – documents received from the external parties. Outgoing - documents sent to external parties. Working document – the document is in the process of creation. | | (715) Number of days to keep items in Recycle bin | Number of days to keep documents in Recycle bin before automatic clean-up. | | (753) Cache document preview | Indicates how many days cached documents for preview (PDF) are stored on the client (can be set in relation to own GDPR policies). The shorter the time the cached documents are stored, the more time must be used for conversions and retrieving previews, as the "hit rate" in the cache will be lower.

Possible values: No cache. (Previews should be trashed every time when opening/closing DocuNote). 1 week. 1 month. |
